A permission checklist for every AI automation

Five questions can prevent a convenient automation from becoming an uncontrolled business risk.

1. What information can it access?

List the exact folders, records, messages or customer details the automation needs. Remove access that is merely convenient.

2. What actions can it take?

Distinguish between reading, drafting, editing, sending, approving and paying. Each step carries a different level of risk.

3. Which actions require human approval?

Require a person to approve sensitive communication, financial commitments, customer decisions and changes that are difficult to reverse.

4. How will activity be reviewed?

Keep a record of important inputs, outputs and actions. Assign someone to review exceptions and improve the workflow.

5. How can access be stopped?

The business must be able to remove permissions quickly when a tool fails, an employee leaves or the workflow is no longer needed.
